A Monthly Billing Checklist for Hotels Serving Long-Stay Guests

Published Oct 30, 2026

This is a suggested operational checklist, not a statement of universal hotel practice. A useful long-stay proposal tells the guest what period the rate covers, when payment is due and what changes if dates change. Tax treatment must be checked for the property's jurisdiction rather than copied from another hotel.

Define the cycle explicitly

Choose and label the period your quote covers: calendar month, 30 nights, 28 nights or another stated period. Show a worked payment calendar for the actual stay and any partial final period. Keep the unit consistent across the offer, signed agreement and folio so the guest can reconcile them.

State the exit and extension rules

  • Minimum qualifying stay for the quoted rate.
  • Notice required before checkout or renewal.
  • Whether early departure changes the price of nights already used.
  • What is refundable and by what process.
  • Whether an extension requires a new price confirmation.

Keep charged deposits and holds distinct

Describe whether the property charges a deposit or places an authorization hold, what it covers and how it is released. Experian explains that a hold reserves credit rather than becoming a completed charge, and some lodging holds can last up to 31 days. Do not promise a bank-release date the property cannot control.

Apply the local tax rule, including its conditions

Tax exemptions are not one automatic day-31 switch. Colorado's guidance, for example, specifies permanent residence and a written agreement for at least thirty consecutive days. Other jurisdictions can have different periods, documents and refund rules. Have the appropriate tax authority or adviser confirm the rule for the hotel's address and payer. Retain whatever records that rule requires.

Make third-party payment a confirmed arrangement

If offering direct billing, specify who approved the account, who pays incidentals, invoice timing and what happens if the payer disputes or delays payment. These are terms to agree, not benefits every corporate guest automatically receives. Keep the guest informed of any personal liability in the agreement.

Make the folio understandable

Show the cycle dates, room charge, separate taxes and fees, received payments and outstanding balance. Label the status of a charged deposit separately from a card authorization. Provide a billing contact and a way to correct mistakes. These are proposed process improvements; they do not promise higher retention or referral volume.
